Today, I want to talk about why coaches and consultants need a knowledge management system to accelerate growth in their business and life.

We live in an age of information overwhelm.

If you’re struggling with taming and organising your valuable information or feel bogged down by the constant flow of information, that can really hurt your productivity.

A personal knowledge management (PKM) system helps to solve that problem.

It sounds like a complicated system, but it’s not.

Simply put, it’s a system for organising, tracking and managing knowledge and resources you care about or what to use in the future.

So that you can easily find what you need, when you need it.

I’m a firm believer of just-in-time learning. Having a knowledge system in Notion has been a life saver for that.

Why So Many People Struggle to Manage Their Knowledge

Unfortunately, people don’t get taught how to effectively organise and manage useful information in a way that’s both effective and quick to find (when you need it).

  • Too much information: The more resources you collect, the harder it becomes to manage them if you don’t have a system, especially when they’re scattered across different platforms or hidden away in folders.

  • No clear system: Tools like Notion makes managing resources and knowledge easy, but only if there’s a system built into the tool.

  • Lack of time: You’re already busy with running your business and living your life. The idea of building a system from scratch feels overwhelming.

  • Overcomplicating things: Many people make the mistake of creating an overly complex system that looks good but isn’t practical to use. So it never gets used.

  • Not knowing where to start: There are so many digital tools and templates out there promising to solve your information storage problems. It’s easy to get lost and not know where to begin.

You’re not alone though. After talking to dozens of business owners, these are really common problems.

Three Big Reasons Why You Need a Knowledge System in Your Business (And Life)

Reason #1: Centralize All Your Knowledge and Resources for Growth

The first reason you need a Knowledge Hub is to store everything in one place.

Why is this important?

When your resources—whether they’re articles, book notes, or research—are scattered across different platforms or lost in random folders, it’s nearly impossible to find what you need, when you need it.

A central hub means you’ll always know where everything is.

Example: One of my clients had 20+ database in Notion, but he really struggled to know where to store a new article or video he wanted to consume later.

After putting in place a Knowledge Hub, he could quickly capture new articles and videos on the go, and then easily find them again when he needed it, saving hours every month.

Reason #2: Turn Knowledge Into Action

The second reason you need a Knowledge Hub is to help turn knowledge into tangible action to help you grow in your business or life.

Having a place to capture and store new information is a fantastic first step.

But information is useless unless you digest it and turn it into action.

That’s where Notion comes in.

Notion allows us to design visually appealing, simple and functional dashboards that helps us retrieve the information, take notes and turn notes into daily action.

Reason #3: A System Makes It Quick and Easy to Process New Information and Stay Organised

If you don’t regularly process and organise what you saved, it quickly falls into a messy heap.

I spend a few minutes each week, as part of my weekly review, to sort, tag and organise any new resources I’ve added into my own knowledge hub for the week.

Just a few minutes a week keeps the knowledge system organised and clean, so it’s a joy to use and so easy to find what I need, when I need it.

Example: Have a dedicated dashboard or section in your Notion workspace to process newly added resources.

Once I updated the relevant Notion database properties like the creator of the resource, status and tag the resource type, it disappears from view.

Quick Summary of a Few Powerful Use Cases of a Knowledge System

A knowledge system can be for personal or professional development, or used within your coaching or consulting business.

Here are a few example of what I mean:

  • Track your learnings (e.g. notes from books, videos, courses, podcasts)

  • A value-add resource hub for your coaching or consulting clients (e.g. sharing proprietary or curated resources as part of your program without the need waste time in back and forth in emails)

  • A knowledge hub for curated resources for personal or professional development (e.g. saving articles for reading later or for research)

  • A documents hub for operating your business (e.g. Keeping track of your SOPs in your business especially if you have a team or hire contractors)

A Knowledge system stops you from hoarding information in multiple locations (and never seeing them again as you have no idea where it is)—email, folders on your laptop, Apple notes etc.—and instead organises information for easy and effortless access, when you need it.

It eliminates information overwhelm, saves time, reduces stress, fast-tracks personal and business growth, and help you serve your clients better.
